Assistant Property Manager--Full-Time

Position Responsibilities 
This polished administrative professional will provide assistance with administrative/management duties and support to the Property Manager to ensure leadership in the property and community. The Assistant Property Manager will create an environment that encourages trust with residents, community members, and vendors.  They will support the Property Manager in maintaining the physical building to protect and maintain the asset and promote financial health of the property by achieving the annual budget goals. This position is located in Minneapolis and reports to the building Property Manager.

Responsibilities include, but not limited to:

  • Resident/Property Relations: Support the Property Manager as needed by responding to resident, vendor or Director needs, issues, or problems. Duties may include: enter maintenance requests, grant access as needed, attend community meetings as needed and respond to emergencies.
  • Property Finances: Support the Property Manager in rent collections, issuing receipts to residents, preparing deposits, and creating and maintaining property budget.
  • Marketing: Support the Property Manager in obtaining occupancy goals as set by the budget/organization by marketing, processing applications, retaining residents, and affirmative marketing.
  • Office/Administrative Support: Support the site office by being present during property office hours, answering telephone, filing, sort mail, maintaining office equipment, ordering office supplies, referring residents, providing accurate rental information, and giving access to vendors/contractors.
  • Physical Asset: Support the Property Manager to ensure unit and common area components pass all physical inspections.
  • Compliance: Support the Property Manager in achieving overall compliance of the property, including, but not limited to collecting, processing and properly filing of the required information.

Skills and Qualifications
Minimum of 2+ years of administrative support experience. Four year college degree preferred but may substitute for experience. Must possess excellent communication skills, moderate computer skills in Excel and Word and have the ability to multi-task, prioritize, be adaptable and comfortable in a high energy environment, and effectively work with a diverse clientele. Valid Drivers’ License, reliable vehicle and vehicle insurance required.

Capital Campaign Assistant (Temporary) - 16 hours per week

Position Responsibilities 
This position supports the implementation of the Capital Campaign by providing administrative and development support to Capital Campaign staff to achieve the goal of raising $12 million for specific projects. This position will report to the Executive Assistant to the President.

Responsibilities include, but not limited to:
Research of prospects and other issues as needed.
  • Work collaboratively with key staff to ensure a successful campaign.
  • Maintain the confidentiality of information, data, and records.
  • Provide clerical and administrative support for the project.
  • Assist with community relations, events and awareness efforts relating to the campaign.
  • Tracking of campaign activities and others related tasks.
  • Assist with the creation of campaign materials including meeting agendas, minutes, flyers, displays and other print materials needed.  
  • Proficient use of Microsoft office products, particularly Word and Excel. Capacity to navigate CommonGround (Aeon’s fundraising software) for donor tracking and relationship management.
Skills/Qualifications:
  • A minimum of 2 years’ experience in an administrative setting; preferred background in working with committees, on a campaign or in fundraising.
  • Excellent verbal and written communication skills are required.
  • Ability to understand and interpret a broad range of issues related to Aeon’s mission.

Executive Assistant to the President/CEO - Full-time

Position Summary
Aeon seeks an Executive Assistant to provide a high level of support to the President/CEO.  The position requires an experienced, organized and detail-oriented, self-starter who enjoys supporting organizational leadership in a variety of ways.  This polished professional will be a seeker of excellence thriving in a fast paced environment while being resourceful and meeting tight deadlines.

Position Responsibilities
We are seeking highly motivated, dependable people to perform front desk/security duties in Minneapolis. Open shifts include various 1st and 2nd shifts on weekdays. Candidates must be resourceful problem solvers and seekers of excellence who value hard work and excellent customer service.

Position Overview
Professionally create and maintain a safe, secure and positive environment by monitoring, enforcing and recording all building/resident activity. Candidate will support office staff by respectfully responding to resident and outside inquiries regarding the property.  Accurately answer questions about apartment availability and respond in a professional manner to outside organizations by delivering superior customer service. Responsibilities include but are not limited to

  • Must become closely acquainted with the property and its residents, vendors, etc. in order to foster a sense of community and home while maintaining professional boundaries
  • Enforce building rules and regulations, monitor building’s security cameras and alarms, and maintain the harmony of the residents and their guests
  • Must be able to take charge and direct others in emergencies as they arise
  • Compose comprehensive reports outlining observations and activities during your assigned shift

Leasing Agent--Full-Time

Aeon seeks a full time leasing agent to provide a high level sales support to the property manager at Clover Field Apartments in Chaska.  This polished, outgoing professional will be a seeker of excellence thriving in a fast paced environment while being resourceful and meeting tight deadlines.  This position is a highly sales oriented position and the ideal candidate will be highly goal oriented.

Job Responsibilities and Duties

  • Maintain current knowledge of apartment availability, rates and features.
  • Greet prospective residents.  Discuss their housing needs and desires.
  • Review information packet, floor plans, deposits, etc.  Present information regarding community offerings.
  • Follow established policy and procedures in the qualification, screening and acceptance of applicants for residency.
  • Conduct property and apartment tours to include showing amenities, models and available apartments.
  • Maintain prospect and leasing data on Guest Card and in Yardi
  • Follow up within 48 hours of showing with prospective resident if lease was not signed.  Send thank you card.
  • Follow the community lease renewal program.  Maximize resident renewals.
  • Prepare lease-related paperwork in an accurate and timely manner.  Explain all lease documents to new and existing residents.  Ensure all documents are correctly completed prior to resident move-in.
  • Prepare marketing letters, flyers, etc to prospective residents as appropriate.
  • Prepare property information packet.
  • Prepare move-in packet.
  • Assist with managing the day-to-day operation of the community.  Work closely with Property Manager to ensure apartments are ready for move-in and maintained in a satisfactory manner.  Assume responsibility for community operations when Property Manager is off-site, resulting in the Leasing Consultant being the senior office staff person on-site.
  • Attend staff meetings as required.
  • Maintain and safeguard confidential information.

Candidate Requirements

Portfolio Director

Position Summary
The Portfolio Director will report directly to the Vice President of Property Operations as a dynamic member of Aeon’s operational leadership team. Aeon’s Portfolio Director will lead, develop, and manage all on-site personnel at multiple properties in addition to maintaining strong working relationships with all Aeon management peers and other internal teams. The Portfolio Director will maintain effective relationships with suppliers, vendors, and others serving Aeon.  Five to seven employees will report directly to the Portfolio Director with approximately 35 additional staff aligned under this team structure.  

The Portfolio Director is an integral part of Aeon’s property operations leadership team. The team’s mission is to provide high quality, sustainable housing for generations. We’ll achieve this by maintaining high standards of excellence for customer focused relationship based management, attention to detail and dedication to Aeon’s mission.

The Portfolio Director will be a resourceful, problem solver that will be responsible for the supervision and development of high performing on-site teams throughout a portion of Aeon’s properties. They will be accountable for those teams’ performance of ends based metrics in areas that include financial and occupancy performance, resident relations and regulatory compliance. The Portfolio Director must possess experience demonstrating their understanding of affordable housing as well as their ability to fulfill Aeon’s mission and work effectively across diverse economic and ethnic populations.

Position Responsibilities

Financial Reporting Management

  • Provides oversight to development of annual property management plans and operating budgets
  • Reviews all monthly financial reports
  • Performs annual capital expenditure projections to protect and maximize assets
  • Performs property budgeting and reforecasting

Marketing and Leasing Management

  • Supervises leasing personnel
  • Regularly evaluates market conditions and property comparables
  • Implements marketing plans
  • Approves and monitors rental rate accommodations for new leases and renewals based on current market information and regulatory requirements

Physical Asset Maintenance and Supervision of Employees and Contractors

  • Assures adherence to specifications (both contractual and per Aeon operational requirements)

Customer Service

  • Ensures that Aeon’s residents are appropriately served in a positive, welcoming environment
  • Works with other Aeon staff and outside parties to help assist Aeon residents to engage within their community and help create home for themselves

Administrative Management

  • Ensures quality employee selection, training, performance and assures that all supervised employees comply with the appropriate policies, procedures, and performance expectations
  • Interfaces with outside professionals regarding legal, accounting, insurance, tax, and other matters, as appropriate
  • Spends a percentage of time on obtaining market knowledge, community relations, and asset evaluation activities
  • Ensures property files and records are maintained according to regulatory requirements and Aeon policies and procedures
  • Continually improves management and technical skills


Qualifications
This critical position requires at least 10+ years of overall experience with progressive on-site and supervisory leadership responsibilities. Minnesota Real Estate License preferred. Candidate must possess proven abilities in high-level financial analysis, property budgeting and reforecasting. A progressively successful track record in property management in either the private sector or non-profit sector is required. Prior experience with affordable housing leasing, management and regulations is preferred.  The successful candidate will demonstrate strong leadership and motivational abilities, exceptional verbal and written communication skills and the ability to successfully interact with a wide range of people. Proficiency in Microsoft Office and some form of property management software is required. Experience with Yardi is preferred. Candidate must have advanced knowledge of Fair Housing Laws and regulations. Valid driver's license is required.

Position Overview

Resident Connections Coordinator – 32 hours to 40 hours weekly

Position Responsibilities  
We are seeking an experienced and accomplished direct service professional to join our Resident Connections team.  The Resident Connections Coordinator develops and implements strategies for resident stability and community building at our Minneapolis properties.  This energetic and adaptable Coordinator will work as part of a team to assist residents to maintain housing, support access to community resources, and foster engagement amongst a diverse resident community including East African immigrant families, formerly homeless individuals, low-income workers, and people recovering from chemical dependency. This position will report to the Director of Supportive Housing and Resident Connections.

Responsibilities include, but not limited to:

  • Welcome new residents and actively build relationships, explaining the resident services program, and offering information and support to those wishing to access resources.
  • Identify, develop and maintain referral partnerships with local social service agencies that effectively assist residents to achieve their basic needs and life goals in areas including education, employment, mental and physical health.  Accessing mental health crisis services or Adult Protective Services for residents is a common component of the position.
  • Develop supportive professional relationships with residents that help enhance the quality of their lives, empower and encourage them in taking the steps to achieve self-sufficiency.  The Coordinator must have passion for ending homelessness and building community.
  • Partner with Property Management when a resident is in jeopardy of eviction and offer support to the resident to positively and quickly rectify the situation.  The Coordinator offers support and connection to social services, public assistance and independent living skills.
  • Facilitate resident meetings with Property Management and implement community engagement activities such as employment skills workshops, resident leadership councils, community health education workshops and social celebrations, often with the support of outside volunteers.  
  • Consistently track, measure and report program progress through paper documentation and software.  Computer and technical skills are applied daily.

Skills/Qualifications:

  • Two or more years related experience working with:  individuals experiencing mental health issues; ethnically diverse populations; people experiencing or significantly impacted by poverty
  • Experience in program development and management; volunteer coordination preferred
  • Skilled in the following: relationship building, excellent interpersonal, written and verbal communication, and navigation of the Twin Cities’ social service systems
  • Enthusiast approach to planning, promotion, and hosting group meetings and events
  • Bilingual abilities in East African languages desirable, but not required
  • Educational background in the field of human services is strongly preferred
  • Training in mental health and/or chemical dependency preferred
  • Flexible schedule required as meetings and events will occur on weekdays, weeknights and weekends
  • Valid Driver’s License, reliable vehicle and vehicle insurance required

Volunteer Coordinator VISTA Summer Associate

Position Summary

Aeon is seeking two independent, energetic and organized individuals for two short-term full-time NeighborWorks AmeriCorps Summer Associate positions. Summer Associate AmeriCorps members will work together within Aeon’s Volunteer Program to lead volunteer groups from schools, worship communities and corporations. Summer Associate AmeriCorps members will work from June 9, 2014 through August 3, 2014. These Associates will develop skills in volunteer management and program development, and will gain experience working in a dynamic nonprofit environment. The ideal candidate will have education, experience and/or interest related to community development, social services and volunteer management. A flexible schedule is also a requirement as opportunities can and will occur on weekdays, weeknights and weekends.

The successful candidate will work to complete the following projects:

  • Lead volunteer projects, with an emphasis on landscaping and gardening projects, as well as painting and other projects.  This position will include some evening and weekend hours to accommodate volunteers.
  • Recruit Aeon residents to volunteer on an ongoing basis to water plants, weed, and assist with maintaining the properties where they live. Provide support as needed to resident volunteers.
  • Assess opportunities for volunteers and needs at Aeon properties, particularly regarding landscaping, gardening, and other outdoor areas.
  • Assess available tools at each property and create an inventory. May include anything from rakes/shovels to functioning water spigots.
  • Organize supplies needed for volunteer projects and help maintain supplies during the volunteer program’s busiest season.
  • Assist with administrative tasks that help the volunteer program run efficiently. This includes generating personalized thank you notes for volunteers, tracking volunteer hours, completing research for projects (material costs, opportunities, etc.), and other related tasks.

Qualifications

  • Excellent written and verbal communication skills
  • Experience in event coordination
  • Strong organizational and planning skills
  • Must be resourceful problem solver with an attention to details, and a seeker of excellence who values results, hard work, customer service, and loyalty to Aeon’s mission.
  • Comfortable working in economically, socially, and ethnically diverse communities
  • Familiarity with basic Microsoft Office applications (Outlook, Word, Excel, etc.)
  • Experience organizing or managing groups of volunteers or staff preferred
  • Valid Drivers’ License, reliable vehicle and vehicle insurance strongly preferred.


Compensation
Summer Associates receive a bi-weekly living allowance of $437. In addition, Summer Associates receive an end of service benefit and may choose between an education award or cash stipend. Specifically, Summer Associates this year may elect between: an Eli Segal AmeriCorps Education Award of $1,194 from the National Service Trust; OR A summer stipend accrued at the rate of $125/month.
